1. INTRODUCTION

1.1 This Privacy Policy Statement (“Privacy Policy”) sets out the principles and practices
adopted by Agensi Pekerjaan VOM Sdn. Bhd. (“Company”, “we”, “us” or “our”) in relation
to the collection, use, processing, storage and disclosure of personal data in connection
with our recruitment, placement, employment and HR-related services.
1.2 We respect your privacy and are committed to protecting your personal data in
accordance with the Malaysian Personal Data Protection Act 2010 (“PDPA”) and all
applicable regulations.
1.3 For the purposes of this Privacy Policy, “personal data” refers to any information relating
to an individual who can be identified directly or indirectly from such information,
whether alone or together with other information to which the Company has access or is
likely to have access.
2. INFORMATION WE COLLECT, USE OR DISCLOSE
2.1 To provide recruitment, placement and HR-related services effectively, we may collect
and process personal data from candidates, employees, contractors, consultants and
former employees. Failure to provide the requested personal data may affect our ability
to effectively provide such services or manage the employment relationship.
2.2 Examples of personal data that we may collect include:
i. Full name
ii. Contact details (address, telephone number and email address)
iii. Passport or identification details
iv. Employee identification number
v. Date of birth
vi. Educational qualifications and employment history
vii. Work-related skills, experience and competencies
viii. Professional certifications, licences and memberships
ix. Information contained in resumes or curriculum vitae (CVs)

xv. Information voluntarily submitted through Company platforms, systems or

2.3 We may also collect and process sensitive personal data, including but not limited to:
i. National identification or tax identification numbers
ii. Banking and financial information
iii. Background screening and drug screening results
iv. Employee benefits and insurance information
v. Biometric information

vi. Employment performance, appraisal or disciplinary records
vii. Medical and health-related information, including insurance or medical claims
2.4 Where required for lawful purposes or reporting obligations, we may collect diversity and
equal opportunity information, such as gender, race or disability status. Such information
will generally be collected on a voluntary basis unless otherwise required by law.
2.5 When you access our website, systems or applications, we may collect certain technical
and usage information, including:

ii. Survey responses and social media interactions
2.6 You may choose to authenticate or access certain services through third-party platforms
such as Facebook, X or Google. In such cases, the relevant platform may share personal
data with us in accordance with its own privacy policy and settings.

platforms will also be subject to the privacy policies and practices of those respective
platforms.
2.8 You may provide us with personal data relating to other individuals, including your next of
kin, dependants or emergency contacts, for purposes related to employment
administration or emergency communication. By providing such information, you
confirm and warrant that you have obtained the necessary consent from those
individuals for the disclosure and processing of their personal data by the Company.
2.9 We will treat all personal data as confidential and will take reasonable steps to ensure
that such data is accessed, used or disclosed only by authorised personnel or parties
who require the information for legitimate business or legal purposes.
2.10 You are responsible for ensuring that all personal data provided to us is accurate,

permitted by law

under applicable laws, including situations involving emergencies, legal obligations or
matters of public interest.
3.4 Any transfer of personal data outside Malaysia will be carried out in accordance with the
PDPA and subject to appropriate safeguards and contractual protections.

5.4 We will endeavour to process requests relating to personal data within thirty (30) days. If
additional time is required, we will inform you accordingly.
5.5 Please note that withdrawal of consent may affect our ability to provide services, process
applications or maintain the employment relationship.
5.6 Where decisions are made solely through automated processing or AI-based systems,
you may request a human review of such decisions, subject to applicable legal and
operational requirements.
6. ADMINISTRATION, MANAGEMENT AND DATA PROTECTION
6.1 You are responsible for notifying us promptly of any changes to your personal data.
6.2 We implement reasonable technical, administrative and organisational security
measures to protect personal data against unauthorised access, disclosure, misuse,
alteration or destruction. Such measures may include encryption, access controls,
secure storage systems and antivirus protection. However, no data transmission or
storage system can be guaranteed to be completely secure.
6.3 Personal data will be retained only for as long as necessary to fulfil the purposes for which
it was collected or as required by applicable laws. Thereafter, such data will be securely
destroyed, deleted or anonymised.
6.4 Any transfer, storage or processing of personal data outside Malaysia will be undertaken
in compliance with the PDPA and relevant contractual or legal safeguards.

In the event of a personal data breach that is likely to result in significant harm or is
otherwise notifiable under applicable laws, we will assess the incident and notify the
relevant authorities and affected individuals in accordance with legal and regulatory
requirements.
8. AUTHORISATION AND CONSENT TO COLLECTION, USE AND DISCLOSURE OF
EMPLOYMENT PERSONAL DATA
8.1 By engaging with our services, including by submitting your resume, curriculum vitae (CV),
employment information or other personal data for recruitment, placement or related
purposes, you acknowledge that you have read, understood and agreed to this Privacy
Policy Statement.
8.2 You consent to Agensi Pekerjaan VOM Sdn. Bhd. collecting, using, processing, storing and
disclosing your personal data through any communication channel, including email,
messaging platforms, online submissions and third-party referrals, for purposes related
to recruitment, employment, placement and associated services.

8.3 You further authorise us to disclose your personal data to prospective employers, clients,
related corporations, service providers and relevant third parties, whether within or
outside Malaysia, where necessary for the purposes stated in this Privacy Policy
Statement or as required by law.
9. UPDATES TO THIS PRIVACY POLICY
We reserve the right to amend, revise or update this Privacy Policy from time to time. The
latest version will be made available by the Company together with the applicable
revision date.
